ASEEES 2021 Convention Preliminary Schedule Announced

ASEEES is pleased to announce that the preliminary schedules for the 2021 ASEEES Annual Convention, In-Person (November 18–21) and Virtual (December 2-3), are now available HEREBoth the In-Person and Virtual Conventions are scheduled in Central Time.  

“Go directly to the Convention program online” to see the searchable online schedule.  You can find your own panel/roundtable/lighting round/meeting schedule(s) by entering your name or your panel/roundtable/lightning round/meeting title in the search box. You can also view the entire convention schedule grid under “Program Calendar” in the left navigation bar.

A PDF version of the preliminary program will be available on the convention website in mid-June. The In-Person convention schedule is based on COVID protocol, including longer than usual breaks between sessions.  As protocols change, the schedule may also change slightly.

CHANGE REQUESTS

Please DO NOT ask us to move your session.  The Program Chair and the Program Committee have spent hours of time trying to avoid thematic conflicts.  We cannot accommodate individual scheduling requests.  Room assignments are subject to change; final room assignments will be published in the print program.

If your affiliation, name, or email has changed, please make the change in your profile on the ASEEES Member Site.

If your session needs to change its participation status (In-Person or Virtual), please complete the In-Person or Virtual Session Change Request Form. We recognize that changes will continue to occur throughout the year. Please let us know if your session(s) need to be moved by September 1 to be correctly listed in the print program.

The deadline to submit session changes to the final program is September 1.  Complete this Session Change Request form if you’re requesting an edit to your session. For questions about session changes, please email aseees.proposal@pitt.edu   

If you see any errors in the program, please send a notification to aseees.convention@pitt.edu.

REGISTRATION

ALL participants on panels/roundtables/lightning rounds—session chairs, discussants, paper presenters and roundtable members, WITHOUT EXCEPTION, must pre-register and pay the registration fee – Registration Page. The early registration deadline is August 17.  Registration rates will increase after that date.

We are offering a limited number of registration waivers for those impacted by COVID. Visit the Registration Page for access to the waiver forms.

Session organizers: If you are the session organizer as well as a participant in the session, you must be entered into the system for both roles and register.  Organizers who are not participating in the convention are not listed in the program and do not need to register. To request an edit your session participation, please submit the change on the Session Change Request form.

Registration exception: Exhibitors with exhibitor badges who are also participating in sessions do not need to register separately for the convention, though they should notify our office so that they can be registered correctly.

MEMBERSHIP RULES & EXCEPTIONS

All participants who are Slavic, East European, and Eurasian Studies specialists in the US and abroad must be current ASEEES members. If you are not currently a member or have not renewed your membership for 2021, you must do so immediately.

Specialists outside the field of Slavic, East European, and Eurasian Studies are not required to join ASEEES but must register for the convention at the non-member rate. Please note that it is cheaper to join at the Affiliate Member level than to pay the non-member regular registration fee. Please consider becoming a member. Learn more about ASEEES Membership.

Please note that membership payment is not the same as convention registration.

HOTEL

Please book your hotel room at the Hilton Riverside New Orleans as soon as possible.  A link and telephone number for room reservations is on the Hotel page of our website. 

The block cutoff date for special rooming rates is October 17, 2021Rooms cancelations can be made up to 72 hours prior to check-in. 

Student rooms are sold out.  Consider sharing a room by adding your name to the Room-share Locator.

INVITATION & VISA LETTERS

To request an official invitation letter or letter to pursue a VISA, complete this Letter Request Form  no later than September 15.

A-V EQUIPMENT

ASEEES will provide an LCD projector/plasma TV set-up with speakers in each meeting room for panels and roundtables. No other audio-visual equipment is provided. You will be required to bring any other equipment, i.e., your own laptop and necessary cables (especially if you have a Mac), to make your presentation. ASEEES does not have the necessary staffing to support Hybrid Sessions. For more information see the A/V Equipment Policy.

MEETINGS AND RECEPTIONS

We are still accepting and scheduling ancillary events. Click HERE to submit a reception or meeting room request. Deadline for submissions is August 17.
