THE 2022 ASEEES CONVENTION IN CHICAGO IS SCHEDULED FOR NOVEMBER 10-13, 2022. WILL THE VIRTUAL CONVENTION HAPPEN CONCURRENTLY?
No, the virtual convention is scheduled for October 13-14, 2022.
IS IT POSSIBLE TO PRESENT AT BOTH THE VIRTUAL AND IN-PERSON CONVENTIONS?
Yes, it is possible to participate at both conventions. However, the two-session limit, as outlined in the rules for convention participants, still applies. Registration should be purchased for the In-Person+Virtual Convention rate. Please note that sessions at the virtual convention may be limited.
IF MY SESSION IS ACCEPTED FOR THE IN-PERSON CONVENTION, WILL I BE ABLE TO MOVE IT TO THE VIRTUAL CONVENTION AT A LATER DATE?
We acknowledge that circumstances surrounding the Covid-19 pandemic continue to evolve and sympathize with possible health, travel, and financial restrictions of our members. However, we are unable to accommodate the option to move from an in-person to virtual or virtual to in-person format in 2022 due to the severe scheduling challenges we faced during the 2021 convention. We thank you for understanding this constraint when submitting proposals.
WILL HYBRID SESSIONS BE PERMITTED DURING THE IN-PERSON CONVENTION? IN OTHER WORDS, WILL ONE OR MORE PARTICIPANTS ON MY SESSION BE ABLE TO “BEAM IN” VIA ZOOM?
Due to the very high cost of audio/visual equipment in the convention hotel, hybrid sessions will not be permitted under any circumstances during the 2022 in-person convention in Chicago. Additionally, the hotel will not permit individuals to connect their own speakers to the provided A/V equipment.
WILL A/V EQUIPMENT BE PROVIDED IN THE PRESENTATION ROOMS AT THE IN-PERSON CONVENTION?
Each meeting room will be equipped with a digital projector and screen. You are required to bring your own laptop. No other A/V equipment will be offered and the meeting rooms do not have internet access. See the A/V policy page for more information. *If your affiliate group requires A/V equipment, please note that under scheduling requests. We will make every effort to schedule affiliate group business meetings accordingly.
Our session was submitted and accepted for the 2021 ASEEES Convention. We opted to postpone our presentation until 2022. Do we need to resubmit our proposal?
Yes, if you postponed a panel/roundtable that was accepted for ASEEES 2021, you must resubmit your proposal for ASEEES 2022. In order to help reviewers evaluate submissions, mark the box indicating you are re-submitting a proposal on the submission form.
IS COVID-19 SAFETY PROTOCOL IN PLACE IN MEETING SPACE AT THE HOTEL?
Safety protocol will be determined closer to the dates of the in-person convention.
GIVEN THE EVOLVING MEETING RESTRICTIONS RELATED TO THE COVID-19 PANDEMIC, HOW WILL ASEEES EVENTS OUTSIDE OF PANELS, ROUNDTABLES AND LIGHTNING ROUNDS BE CONDUCTED?
Parameters around social gatherings (the opening reception, book awards, and general receptions) will be determined closer to the dates of the in-person convention.
HOW WILL AFFILIATE GROUP MEETINGS TAKE PLACE?
Affiliate groups may hold one meeting/room per convention. You may choose to hold a virtual meeting or an in-person meeting during the convention. Virtual participation will be limited to those who are registered to attend the convention.
WILL THE FILM SCREENINGS TAKE PLACE VIRTUALLY OR IN-PERSON?
Accepted films will be presented in the format requested by the submitter.
WILL 2022 CONVENTION SESSIONS BE RECORDED?
The virtual convention will provide the option for panels, roundtables, and lightning round participants to record their sessions. All sessions recorded during the virtual convention must be stored on the Zoom cloud platform.
CAN RECORDINGS MADE DURING THE CONVENTION BE SHARED TO OTHER LOCATIONS?
The use of session recordings is restricted to the ASEEES convention platform. Recordings cannot be shared on other sites.
Can a group of sessions be submitted as a series?
Yes, you may submit a group of sessions that ASEEES considers a themed series. We recommend that the sessions have the same name, followed by a Roman numeral after each session title. Subtitles are optional. Keep in mind that sessions may not be scheduled in the order they were submitted due to time zone variables or other scheduling challenges. Example: “Soviet Film I: Stalinist Cinema,” “Soviet Film II: Thaw Cinema,” “Soviet Film III: Stagnation Cinema.
