Change Request Rules
If you need to make a change to your session or withdraw from the 2022 ASEEES Convention, please complete the appropriate form below.
Session change requests MUST be completed by the Session Organizer.
If you wish to make a change to the session title or participants, cancel your session, or withdraw from the convention, please complete the Session Change Request form by no later than September 23 in order to be included in the print program.
Please do not email ASEEES staff with move or change requests. Forms must be complete for each change request. Here are the rules and deadlines for shifting or changing sessions.
Situation: Individual paper (virtual or in-person) requesting to move to the other participation format. Once an individually accepted paper is assigned to a panel, that individual paper cannot be moved. Paper submitters may withdraw for a refund based on the registration date schedule for refunds.
Situation: In-Person session requests that one or more participant participates via a hybrid format (“beaming in via Zoom”). Sessions may not include a virtual participant during an in-person session (aka: hybrid session) for two reasons. 1) Wi-Fi is not included in The Palmer House Hilton meeting rooms and 2) ASEEES is not permitted to provide personal speakers to enhance the virtual presenter. Therefore, both sound and internet connections are likely to create problems for the session.
If a session participant cannot attend in-person that person should either 1) request that their paper be read by another participant on the panel or 2) withdraw.
Situation: One or more individuals cannot participate during the In-Person convention. If an individual needs to be removed from or replaced by another participant, complete this Change Request Form by September 23.
Situation: Your affiliation or contact information has changed. Sign into the members site to make the correction. Please note: we cannot guarantee that changes made after September 23 will be listed in the print program.
